StarShip retrieves a list of all possible values for the fields listed below from QuickBooks Online. You would map one of these fields to a StarShip shipment field that also accepts a set of allowed values, and then customize the translation between QuickBooks Online and StarShip.
QBO Field | Document Type | To maintain values in QBO |
---|---|---|
Payment Method | Sales Receipts | Payment Method on the Enter Sales Receipts screen between the header and line items. |
Ship Via | Invoices, Sales Receipts | Ship Via on the Create Invoices screen; or Ship Via on the Enter Sales Receipts screen. |
Terms | Invoices | Terms on the Create Invoices screen. |
Enter a Value List
Ship Via
For a shipment field that accepts a list of values – for example, the Carrier-Service field which can be mapped to the QuickBooks Ship Via field – you can add commonly used QuickBooks values for StarShip to use when importing the Invoice or Sales Receipt. Then, define which QuickBooks values equal which StarShip shipment values.
To set up Value Translations, go to Setup > Source Interfaces > QuickBooks Online, click on Interfaces, and then select the Customize Interface button for Invoices or Sales Receipts.
- In Customize Interface, select the Shipment Group and then click Carrier Information.
- Click the Carrier-Service field (note that it is mapped to “Ship Via”) and click the Add Value Translation button.
- Next, enter a Ship Via value that you often type into QuickBooks, and then select the StarShip translation on the right. You can add more values by clicking the Add Value Translation button again.
- Click the Save All Maps button to save your changes.
Imported Value Lists
The values for the two fields, Terms and Payment Method, in QuickBooks Online, can be imported when mapped to a StarShip field that accepts value translations.
Payment Method
Values for the Payment Method field in QBO are automatically recognized by StarShip but you have to map the Payment Method field to StarShip and set up the Value Translations.
In this example, we’ll map the Payment Method from QuickBooks to the Billing Type field in StarShip.
- Billing Type is under the Shipment > General Information groups.
- In the Maps From field, select QuickBooks Online field. Then select the Payment Method field.
- Translate the Payment Method values into the StarShip values for Billing Type on the right.
- When you’re done, click Save All Maps to save your changes.
